Purchasing, Receiving & Inventory Coordinator

Fargo, ND
Full-time
$19.00+/hour DOE
40 hours/week

About the Role

We're looking for a sharp, organized, and people-smart Purchasing & Inventory Coordinator to own the flow of materials at Office Sign Company. This role sits at the intersection of our warehouse and our leadership team—you'll be on the floor checking in shipments, and at your desk building purchase orders, monitoring freight costs, and briefing the CEO and managers on what's coming in, what's running low, and where we can save.

You're not just a transaction processor, you're a relationship builder. You pick up the phone. You know your vendors by name, and they know you. You're always looking for a better deal, a free shipping agreement, or a bulk pricing arrangement that saves the company real money.

We can train the right person. What we can't train is reliability, follow-through, and the kind of ownership mindset that doesn't wait to be asked. If that's you, we want to talk.

PO Management & Procurement

  • Own the full lifecycle of every Purchase Order, from initiation to payment
  • Create, track, and manage POs with real-time visibility on lead times
  • Proactively flag potential delays to production and management
  • Monitor freight costs and identify opportunities for savings

Inventory Control, Receiving & Quality Assurance

  • Maintain accurate, up-to-date inventory records in our system
  • Run regular cycle counts and resolve discrepancies
  • Keep the warehouse organized so materials are easy to find and ready for production
  • Physically receive incoming shipments and verify them against POs for quantity and quality
  • Ensure materials are labeled, documented, and on the shelf—available for production the same day they hit the dock

Vendor Relations & Internal Communication

  • Build genuine relationships with vendors to secure better pricing, terms, and shipping agreements
  • Vet backup suppliers to ensure our supply chain remains uninterrupted
  • Serve as the go-to resource for inventory questions across the company
  • Provide regular updates to the CEO and management team on incoming materials, cost fluctuations, and vendor performance

Qualifications

Previous experience in purchasing, receiving, or inventory management
Manufacturing or production environment experience preferred
  • The "Phone First" Mentality: Excellent communication skills with a preference for picking up the phone to solve a problem rather than waiting on an email
  • Tech Savvy: Comfort with inventory/procurement software (Brightpearl experience is a major plus)
  • Detail Driven: An obsession with accuracy; you stay ahead of problems rather than reacting to them
  • Physically Active: Ability to work on your feet, move inventory, and manage the physical organization of the warehouse floor
  • Reliability, follow-through, and an ownership mindset that doesn't wait to be asked

Why Office Sign Company

Office Sign Company is a Fargo-based sign manufacturer that moves fast and takes pride in doing things right. We're a team that holds each other accountable, communicates directly, and genuinely wants to build a great place to work. In this role, you'll have real ownership, direct access to leadership, and the satisfaction of knowing that what you do keeps the whole operation running.

If you're the kind of person who knows where every PO stands, has a vendor on speed dial, and makes sure nobody has to ask twice, we'd love to meet you.
